Introduction

Successful company in the transport & logiatics industry is looking for a driver & Despatch Clerk for their operation in Centurion.

The incumbent will be required to operate the weighbridge in such a way that orders are dispatched, accurately, timeously resulting in excellent customer service. They will also be required to carry out the internal sales function so that orders are processed, deliveries scheduled and customers assisted resulting in an excellent and cost effective service

Job Responsibilities:

  • Generate quotations and pro-forma invoices according to customer information received
  • Purchase orders received are per company standard terms and trading conditions
  • Orders are captured and recorded accurately according to company procedure on Sales Software
  • Prices on both quotations and orders must be the same
  • The correct load and product is dispatched
  • The correct tonnages are loaded according to the truck size
  • The correct paperwork is sent with the truck driver to site
  • The correct product is received and captured on Sales Software from suppliers
  • Delivery dates are confirmed prior to delivery on site
  • Daily scheduling planned so as to maximize volumes of deliveries in terms site location, product and truck availabilities
  • Clear communication with transporters and truck drivers to ensure correct documentation, loading and offloading
  • Timeous communication with customers regarding planned delivery times and any delays
  • Constant awareness of changing conditions and circumstances to maintain service levels
  • Delivery schedules must be transparent and clear when used by others
  • Regular contact and follow up with customers regarding their current needs and changing requirements
  • Customer queries appropriately resolved and/or passed on to relevant management
  • Sales demand communicated to production and available stock levels obtained as a basis for delivery scheduling
  • Weekly sales forecasts given to production to ensure adequate stock levels are available
  • Following day delivery schedules submitted timeously to management, production and transporters
  • Communication with transporters regarding truck availability to achieve daily revenue targets
  • Keeping demanding customers happy and maintaining a high service level
  • Staying focused in a job a with high interruption level and multiple task demand
  • To adjust delivery scheduling to meet immediate changing conditions
  • As part of the Sales department to assist with the processing of orders, some scanning and filing when required

Desired Experience & Qualification

  • Grade 12/Matric with Mathematics
  • Prior experience related to the despatch function – NOT NEGOTIABLE!
  • Must be proficient in Microsoft Office – especially Excel and Outlook
  • Knowledge of truck size and capacity
  • Specific company computer software systems
  • Relevant product knowledge and conversion factors
  • Good understanding of the production flow and plant layout
  • The successful candidate must have their own reliable transport (no people relying on family transport, lift club or public transport)
  • They must have at least 4 years’ experience with admin systems and dealing with clients. (profile includes filing)
